Job Summary:

The Business Support Manager plays a crucial role in ensuring the smooth operation of our organisation by providing comprehensive administrative support and overseeing various business functions. This position requires a proactive individual who can manage multiple tasks efficiently while fostering a positive work environment. The ideal candidate will possess strong organisational skills and the ability to communicate effectively with team members and external stakeholders.

Key Responsibilities:
* Office & Administrative Management:
* Manage the day-to-day administrative operations of the business.
* Develop and maintain office systems, procedures, and policies to ensure operational efficiency.
* Oversee scheduling, reporting, and documentation.
* Manage communication between security officers, office staff, and clients.

HR & Recruitment Support:
* Assist in the recruitment, onboarding, and training of security staff.
* Manage staff records, contracts, performance reviews, and holiday schedules.
* Oversee induction and training of newly recruited staff members
* Coordinate shift patterns, payroll, and compliance with employment laws.
Client & Contract Coordination:
* Act as a key point of contact for clients, ensuring queries are addressed promptly and professionally.
* Support preparation and management of client contracts, tender submissions, and service level agreements (SLAs).
* Monitor service delivery standards and client satisfaction.
Financial & Budget Support:
* Assist in budget management, including tracking of expenses, payroll coordination, and invoice preparation.
* Monitor supplier contracts, office supplies, and equipment procurement.
* Support financial reporting processes alongside senior management and accounting personnel.
Technology & System Oversight:
* Oversee use and management of scheduling, payroll, and incident reporting software.
* Coordinate with IT providers to ensure the smooth running of office systems and data security protocols.
